ImposeIQ Maintenance guide

Adding machines, the maintenance schedule, service calls, meter readings, consumables and costs.

Overview

Keeps the finishing kit running, and shows what it costs to. Every machine on the floor has a plan of scheduled tasks, a history of what was done to it, its service calls and downtime, its meter, and the consumables it uses. Open it from Home → ImposeIQ Maintenance or the tray menu.

ScreenWhat it is for
OverviewWhat is overdue or due soon, open service calls, low stock, this year's cost and downtime, and a card per machine.
ScheduleEvery scheduled task, filtered by machine, kind and state. Done… records the work and restarts the clock.
MachinesThe register: model, serial, location, meter unit, service provider and contract. A this-year table of labor, parts, service and downtime per machine.
Service callsBreakdowns and technician visits, with the Duplo or dealer ticket number.
Meter readingsEach machine's current count and its history.
ConsumablesBlades, cutting sticks, feeder parts, lubricants and fluids, with stock on hand and reorder points.
Work logEverything done to every machine - scheduled or not.

Getting started

On a new install the Overview offers Add Duplo machines…. The machines switched on in Settings → Machines come ticked. Each one can be added with a starter plan (cleaning, blade and cutting-stick checks, feeder wear parts, lubrication, inspections, the annual service visit) and starter consumables with zero stock and no price.

Starter intervals are a starting point

They are not Duplo's published service schedule. Check every one against the operator manual or your Duplo technician and change it on the Schedule screen. A task still on its starter interval is marked starter until it is edited.

Take the first meter reading

The first reading on a machine is where its plan starts, so a DC with a lifetime count of 2,400,000 does not open with every task millions of sheets overdue.

Anything else - a press, a laminator, a folder - is added with + Machine. Set Duplo model on a Duplo machine so its sheets can be counted from the MIS.

Tasks & the schedule

A task has a kind (lubrication, blade / knife, feeder wear, preventive service, inspection, cleaning, other), an interval of days, a meter count, or both - whichever comes first, who usually does it, written instructions, and the parts it uses.

  • Overdue - the date has passed or the meter has reached the count.
  • Due soon - within the days set in Maintenance → Settings (7 by default), within 10% of the meter interval, or projected to reach the count within those days at the machine's recent usage.
  • A meter task is projected onto the calendar from the machine's readings over the last 90 days, so "every 100,000 sheets" on a machine doing 5,000 a day shows as about 20 days out. If the projection says the count has probably been reached, the task shows Due soon and asks for a reading rather than calling it overdue.

Done… records the date, the meter, who did it, the time taken, any other cost and notes. For a blade task it also records whether the blade or knife was replaced with new, replaced with a sharpened one, turned, or inspected; blade and feeder tasks can record how worn the old part was. The parts listed come out of stock at their current unit cost.

+ Log work records unscheduled work - a repair, a part swapped - and can be tied to an open service call. Removing a log entry puts its parts back into stock.

Meter readings

Enter the count the machine shows - sheets, cuts (guillotines), clicks, books or hours. A meter figure given when a task is marked done also counts as a reading. A reading lower than the last one is refused unless Meter was reset or the counter replaced is ticked; then every task on that machine keeps the same distance to go.

From MIS… counts good plus waste on the machine's finished MIS operations since the last reading and offers the result as a reading. It is an estimate of the meter - operations booked with no count use the estimated quantity - so check it against the machine's own counter before saving.

Service calls & downtime

A call has a severity - Machine down, Running, degraded or Routine - a status (open, tech scheduled, waiting on parts, closed), the ticket number, who was called, the tech visit date, the resolution, and labor and parts cost.

  • An open Machine down call marks the machine DOWN everywhere and raises the Machine down alert straight away.
  • Downtime is worked out from opened to closed for a Machine down call, or typed in for any call.
  • Tick Covered by the service contract / warranty and the call costs the shop nothing in the totals.

Consumables

Each item has a type, unit, part number, vendor, shelf, unit cost, the machines it is used on, a reorder at level and an order quantity. Receive adds a delivery (and can update the unit cost), Use takes some out, Count sets the on-hand figure from a shelf count. Every change is listed under Recent stock movements.

Downtime & the MIS Schedule

The MIS Schedule plans around machines Maintenance says are out, so work is not booked onto a machine that cannot run it:

In MaintenanceOn the MIS Schedule
An open Machine down call0 hours on that machine from today until the call's Expected back in service day. With no date, it blocks the number of days set in Maintenance → Settings (2 by default, counting today) and rolls forward each day until the call is closed.
A call with a Tech visit date and visit hoursThose hours come off the machine on the visit day.
Book… on a scheduled task, or + Plan downtimeThe hours booked (or the whole day) come off each day booked. A task marked done ahead of its booking gives the time back.

The planner moves work that needed that time to earlier days; a job that cannot fit before its due date shows at risk and raises the at-risk alert as usual. The grid marks those days DOWN or Svc, a banner above it lists what Maintenance has out and when, and the 1-day view says so on the machine's lane. Move to machine… marks a machine that is down that day.

A machine reaches the Schedule through its Duplo model (every cost center with that machine) or the MIS cost centers ticked on the machine - use those for presses and other non-Duplo kit. The Downtime screen shows the next four weeks and names any machine not linked yet. Nothing is written into the MIS work calendar: close the call or remove the booking and the time is back.

Alerts & backup

While the Suite is running, Maintenance checks every 30 minutes and raises four events, each routed in Settings → Notifications like every other event:

EventWhen
Maintenance coming dueOnce, when a task becomes due soon. The person named in Usually done by is also told directly if they are on the People list.
Maintenance overdueOnce more, if it goes overdue. Urgent.
Machine downWhen a call is saved as Machine down. Urgent.
Consumable at reorder pointOnce each time an item drops to its reorder point.

The records are kept on this PC in maintenance\maintenance.json in the Suite's data folder and are included in the Suite backup (Settings → Backup, ImposeIQ Maintenance). Export CSV saves the table on the current screen; Print prints it.
